Our client is a renowned global IT consulting firm, is looking for highly motivative Administrative Executive who would be working truly in an international environment and would directly repot to the COUNTRY HEAD.
Roles and responsibilities include but not limited to:
• Administrative support to the associates in Japan
• Responsible for requisition and maintenance of office equipment including furniture and fixture, telephone system, keys, AMC
• Responsible for printing of office stationeries, including envelopes, letterhead, name cards
• Coordinate documents for approval
• Communicate with internal and external parties on matters related to administration / office management activities
• Liaise with the building management on building management matters e.g. car park, maintenance, safety etc.
• Renewal of License, Insurance, Contract, Advertisement
• Coordination of the Company Housing scheme with the landlords and the associates
• He/ She will take coordination role for onsite associates regarding HR/Immigration/Finance/GA function in Tokyo office
• Scanning of invoices , providing Vendor name in English (where it’s in Japanese), providing Project/Department ID etc.
• Coordination with consultants w.r.t. payment updates .
• Maintaining tracking sheet for AP payments.
• Updation of Vendor master template , as almost of the invoices raised are in Japanese.
• Coordination with few Banks (mainly liaison)
• He/ She will help offshore associates who come to Japan to arrange their travel condition.
• Assist HR Department in admin task e.g. processing of logistic arrangement for new recruits,
• Handle business travel and hotel arrangements for management and employees travel from and into Japan
• Manage petty cash
• Act as back up for the front office exec
• Organize lunch and other logistics in case of meetings |
